Ways to work with us
Most partners start in one of three ways. You can combine them, and the commercial terms for each are agreed with you directly.
White-label partner
You sell and support estate management under your own brand. You add estates from your partner portal, set your own price, and keep the margin. Suits property management and facility management firms with several estates.
Integration partner
You make something estates already use, such as access control, accounting or utility metering, and want it to work alongside BreeUp. We agree the data that moves between the two systems and build the connection with you.
Adaptation partner
Your clients need something the standard product doesn't do yet, such as a different billing model, a new module or a regional requirement. We scope and build it with you on the same platform.
02
What the platform does
Each estate gets three things: a workspace for its management team, a portal for its residents, and an account it uses to manage its own funds. Everything runs in the browser on the phones and laptops people already have. No hardware is needed.
For the estate's management team
- Households and residents. A register of every unit, who lives there, and their contact details, including sub-tenants.
- Bills and dues. One-off and recurring charges (monthly, quarterly, bi-annual or annual), raised automatically for every household, with reminders for anything overdue.
- Paying ahead. Estates can let residents pay several months in advance, with an optional discount such as a year for the price of eleven months. Months that are already paid are skipped when new bills go out.
- Estate funds. Residents pay into the estate's own account and quote their unit reference so each payment is matched to the right household. Payouts can require a second approver.
- Contractors. Security, waste, cleaning and other vendors, with their fees and payment dates.
- Notices. Announcements to all residents, with an optional WhatsApp broadcast and a record of who has read them.
- Team and settings. Admin accounts with role-based access, plus the estate's name, colours and contact details.
For residents
- View and pay bills, and choose a pay-ahead option where the estate offers one.
- Read notices from management.
- Create visitor gate passes and share them on WhatsApp.
- Keep their own profile and contact details up to date.
For you, the partner
- A partner portal listing every estate you manage, with links to each one's portal.
- Self-serve setup of new estates and their first admin account.
- Admin password resets for your client estates.
- Troubleshooting for each estate: health checks that say what's wrong and how to fix it, a payment lookup, and buttons to re-check a payment with the provider or resend a receipt.
- Your earnings from resident payments, paid out to your own Bachs account.
- A pricing calculator to test prices against your running costs, including what you earn on payments, before you quote a client.
03
Your brand and domain
Residents and estate managers see your brand. BreeUp stays in the background.
Branding
Your logo, primary and accent colours, and support email are applied to your partner portal. Each estate can also carry its own name, initials and colours inside your brand.
Web addresses
Every estate gets its own address, such as greenview.yourdomain.com. Common words like admin, portal, support and billing are reserved and can't be used as estate names.
Using your own domain
- Tell us the domain or subdomain you want to use, for example
portal.yourcompany.ng. - We register it on the platform and send you the DNS records to add: a CNAME for a subdomain, or an A record for a root domain, plus a TXT record to prove ownership.
- Add the records with your domain registrar. Once they take effect, the domain is verified and an SSL certificate is issued automatically. This usually takes minutes, and occasionally up to 48 hours.
04
Bringing on an estate
You can set up a client estate from your partner portal in a few minutes. Our team can also do it for you.
- Create the estate. Enter its name and address, and choose its web address.
- Create the first admin. Add the estate manager's name and login email. The platform generates a temporary password for you to pass on securely.
- Load the households. The estate manager adds units and residents, or sends us their existing list and we import it.
- Set up dues. Create the recurring charges, such as the service charge, security levy or waste fee, and decide whether residents can pay ahead.
- Connect the estate's account. The estate links its settlement bank account so collected funds can be paid out to it.
- Invite residents. Residents log in to their portal and can start paying and receiving notices straight away.
05
Pricing and money
What you pay and what you charge
- Your rate from BreeUp. A fixed monthly price per household, set in your partner agreement.
- Your price to clients. You decide what to charge each estate per household, plus an optional one-time setup fee for onboarding and training. Everything above your BreeUp rate is yours.
- Your earnings on payments. Each time a resident in one of your estates pays online, you earn your own partner fee plus a share of BreeUp's platform fee. Both are agreed with BreeUp and shown in your partner portal under Earnings & payouts.
- How you're paid. Set up a payout account with our banking partner, Bachs, from Earnings & payouts. Your earnings are sent there as payments settle. If a payment comes through our backup provider, your share is held and sent in the next payout run.
- Pricing calculator. In the partner portal, enter your number of estates, households per estate, your price and your own running costs. It shows what you collect, your break-even price and your first-year profit.
What a resident pays
The resident pays the bill plus a small service and payment fee, and sees the total before paying. The fee covers BreeUp's platform fee, your partner fee and the payment provider's charge. The estate receives the full amount it billed.
| On each payment | Goes to |
|---|---|
| The bill | The estate, in full |
| Your partner fee, plus your share of the platform fee | You |
| The rest of the platform fee | BreeUp |
| The provider's charge | The payment provider |
How estate funds move
Each estate has its own account with our banking partner, Bachs, that it controls. Residents pay online by bank transfer or card, and Bachs splits each payment as it settles: the bill goes to the estate, the fees to BreeUp and you. If Bachs is ever unavailable, payments go through Paystack instead, split the same way, and BreeUp reconciles them. Residents can also transfer straight to the estate's account with their unit reference. Each payment is matched to a household and marked against the bills they chose, then the oldest open bills. The estate pays out to its own bank account, with a second approver if it wants one.
06
Roles and access
| Who | Signs in to | Can see and do |
|---|---|---|
| Partner | Partner portal | Their own client estates only: setup, admin accounts, pricing, troubleshooting and their own earnings. |
| Estate admin | Estate workspace | One estate. Roles include Super Admin, Estate Manager, Financial Officer, Operations and Custom. |
| Resident | Resident portal | Their own household's bills, payments, notices and gate passes. |
Each estate admin's access is set area by area (households, bills and payments, recurring bills, contractors, notices and settings) to full, read-only or none. Data export is a separate permission.
07
Integrations
Payments
Online payments by bank transfer or card through our licensed banking partner, Bachs, which splits each payment between the estate and the fees as it settles. Paystack is the backup if Bachs is unavailable. Residents can also transfer to the estate's dedicated payment account, which Bachs issues in the estate's name. Residents never see the estate's own bank account; Bachs pays the money out to it. Payment confirmations reach the platform automatically and update the resident's balance.
Estates can connect their own WhatsApp Business number through Meta's Cloud API or Twilio, so notices and reminders come from the estate rather than a shared number.
Password resets, invitations and notifications are sent by email.
Gates and access control
Estates with boom barriers, card or tag readers, number-plate cameras or face terminals can have them connected on request. We work with the estate and its installer so the gate uses the same resident and visitor records as BreeUp: moved-out households lose access, visitor passes open the barrier, and entries appear in the estate's log. The gate keeps working when the internet is down. Tell us the brand and model installed and we'll scope it.
Connecting your system
The platform runs on a REST API. Partner access to it is set up case by case: tell us what your system needs to read or send, such as households, bills, payments or gate passes, and we'll agree the endpoints, access and webhooks with you.
08
Data, security and privacy
- Separate estates. Every record belongs to one estate and is only ever read or changed within that estate. A partner can only see their own client estates.
- Accounts. Passwords are hashed and never stored in plain text. Sign-in sessions use signed tokens.
- Third-party credentials. Keys an estate provides, such as WhatsApp credentials, are encrypted at rest.
- Audit trail. Sensitive platform actions, such as signing in to an estate on its behalf, reconciling a payment or sending partner payouts, are logged.
- Data export. Estate admins with the export permission can download all of the estate's records (profile, households, bills and payments, contractors and notices) as a single file at any time. This supports NDPR data requests, and the estate's data stays portable.
- Hosting. The platform runs on Vercel, with a managed MongoDB Atlas database, separate development and production environments, and HTTPS everywhere.
09
Adapting the platform
The platform is built to be rebranded and extended. Domains, branding, fees and prices are configuration, not code, so most partner setups need no engineering work at all. When your clients need more, we build it with you.
- Configuration only: your brand, your domain, your prices and fees, each estate's dues and pay-ahead options.
- Built with you: new modules, different billing or collection models, custom reports, imports from your existing system, and connections to your other tools.
Our stack is Next.js and React, MongoDB, and Vercel hosting. If your own engineers will work alongside ours, we'll set up access and walk them through the code at the start of the project.
How an adaptation project runs
- Scope. We discuss your clients and what they need, and agree what changes.
- Build. We build on a test environment with sample estates that you can try.
- Pilot. One or two of your estates use it live while we fix anything that comes up.
- Roll out. We extend it to the rest of your estates.
10
Next steps
Tell us how many estates you work with, roughly how many households they have, and which of the three partnership types fits best. We'll set up a demo partner portal so you can try it with sample estates before you commit.
