For Residents & Homeowners
🏠 Resident & Tenant Guide
Comprehensive user guide explaining how to navigate, perform actions, and get maximum value from EMS Platform.
1. Accessing Your Resident Portal
- Navigate to the Resident Portal URL (e.g. /portal or your estate's custom domain).
- Log in using your registered Unit Number (e.g., A1, B2) or Email Address.
- Once logged in, your personal dashboard displays your registered household unit, active unit balance, and quick links.
2. Viewing & Paying Estate Levies / Bills
- Click on 'My Bills' (/portal/bills) in the navigation menu.
- Review your outstanding invoices categorized by type (Estate Levy, Water Bill, Security Fee, Generator Maintenance).
- Click the green 'Pay Bill Now' button on any pending or overdue invoice.
- Tap Pay and choose Pay online (bank transfer or card on a secure payment page) or, if you prefer, transfer to your estate's account with your unit reference.
- You'll see the bill, a small service and payment fee, and the total before you pay. Your estate receives the full bill amount.
- Once the payment goes through, your bill updates on its own and a receipt comes on WhatsApp.
3. Reading Announcements & Emergency Notices
- Click on 'Notices' (/portal/notices) to view official communications from Estate Management.
- Pinned notices appear at the top of your feed with distinct color tags (Security, Water Maintenance, Finance, AGM).
- Click on any notice title to read full broadcast details, instructions, or meeting schedules.
4. Generating Visitor Gate Passes & WhatsApp Invites
- Navigate to your Resident Dashboard (/portal).
- In the 'Visitor gate pass' card, enter your visitor's name and, if you like, their WhatsApp number.
- Choose the type of visit and how long the pass lasts (from the next 3 hours to a week), then click 'Create pass' to get a six-digit code (e.g., 849201).
- Security at the gate is sent the pass straight away and checks the code when your visitor arrives.
- Click 'Send on WhatsApp' to send your visitor the code. You can cancel a pass any time from 'Your recent passes'.
5. Subleasing & Updating Household Members
- Go to Profile → 'People in your home' to list who lives with you (optional). Add a name, who they are and, if you like, a phone number.
- When someone moves out, remove them. Tick 'Let the gate know' if security should stop treating them as a resident: it shows on the gate page and, where set up, is sent to the gate's WhatsApp.
- If you have a sub-tenant with their own bills, notify Estate Management to add a sublease entry.
- Sublease profiles (e.g., Unit A1 Sublease B) maintain independent contact records while sharing main unit levy history.
