Estate notices that residents actually read

Why important announcements get lost in the group chat, and how a proper notice board gets the right message to the right households.

The fumigation notice was posted in the residents' group at 2 p.m. on a Wednesday. By 6 p.m. it had scrolled past jokes, a plumber recommendation and a complaint about the generator. Half the estate missed it, and on fumigation day the calls started: "Nobody told us."

Why group messages fail for official notices

  • Important messages compete with hundreds of casual ones and disappear within hours.
  • New residents never see anything sent before they joined the group.
  • There's no way to know who has read the notice and who hasn't.
  • Tenants who have moved out are still in the group, while new ones aren't yet.

What a proper notice board does differently

A notice posted on the estate's portal stays visible until it expires or is replaced. Every resident sees it when they sign in, and new residents see it too. The committee can send a push to WhatsApp or SMS at the same time, so the notice reaches people where they are, but the official record lives somewhere it can't be scrolled away.

Notices stay on the portal's home page, not buried in a chat thread.

Write for the scan, not the scroll

  • Put the action first: "Water will be off on Saturday 9 a.m. to 1 p.m." is better than two paragraphs of context followed by the date.
  • One notice, one topic. A message about fumigation, gate hours and the AGM date will be remembered for none of them.
  • Include a date and time. "Next week" means a different day to everyone.
  • Say who to contact. A name and a number stops twenty people calling the chairman.

Target the right households

Not every notice is for everyone. A water issue in Block C doesn't need to worry Block A. Good estate software lets you send a notice to the whole estate or to chosen groups of households, such as one block or the landlords, so residents learn to pay attention because the messages they get are relevant to them.

How BreeUp helps

BreeUp has a notice board in every resident's portal. Admins can send a notice to every household, or only to chosen groups, such as one block or the landlords.

Notices stay in the portal, so residents can find them again later, unlike a message buried in the group chat. Automatic WhatsApp, SMS and email notices are available as add-ons.

Fewer, better messages. When every notice is relevant, residents stop ignoring them. When every notice is recorded, nobody can say they weren't told.
